Umalusi has issued guidance to candidates whose matric certificates have been lost or damaged, setting out the formal process for obtaining replacement qualifications and warning that previously issued certificates are cancelled once a replacement is approved.
The quality assurance council confirmed that it is the responsible authority for replacing Senior Certificates and National Senior Certificates issued from September 1992 onwards.
"Umalusi is responsible for the replacement of the Senior Certificate and National Senior Certificate as from September 1992," the body said.
According to Umalusi, applicants must follow a structured online process, beginning with the registration of an account to create and track a replacement request.
Candidates are required to specify the qualification they are applying for, which may include the National Senior Certificate, Senior Certificate, National Certificate Vocational, National Certificate (N3), Amended Senior Certificate, ABET Level 4, or General and Further Education Certificate.
Umalusi stressed that affidavits are compulsory for all applications.
"All online applications must include a signed affidavit obtained from a police station or certified by a commissioner of oaths, stating the status of the original certificate, stolen, lost during a move, or more," it said.
Applicants must also select a delivery option, either collecting the certificate from the Umalusi Pretoria Office or receiving it via courier at an additional cost.
The council cautioned that replacement certificates are not issued immediately.
"A certificate cannot be issued on the same day that the application is submitted," Umalusi said.
For certificates obtained before November 1992, Umalusi said applications must be made through the relevant Department of Education, noting that such certificates will be printed by the appropriate assessment body rather than by Umalusi, with processing times ranging from one to three weeks.
Umalusi also warned candidates to treat replacement certificates with care, as the original document becomes invalid once a replacement is issued.
"It should be noted that the previous certificate is cancelled when a replacement certificate is issued," the council said.
